Many secondary schools are using NIVO as Identity Management Software and also use TOPdesk; Now, we’ve made a connection between the two. In HRM-systems, all information about employees, employment contracts and organization is saved and maintained. Similar, a Student Advisory System shows all information about students, parents and their studies. Therefore, it is interesting for the school to use this data to link with NIVO systems. NIVO uses this idata to create identities, groups, departments and locations for TOPdesk.

Identity data to TOPdesk

The primary purpose of the connection is to show the population of employees, students and parents as up-to-date as possible in TOPdesk. For every identity, a person or an operatior can be created.

The following dataset is passed on to TOPdesk:

  • personal data (first name, prefixed, last name, gender)
  • organizational data (department, position, manager)
  • contact details (telephone, school email address)
  • authentication data (username, password and SSO settings)
  • global read permissions (which components are visible in TOPdesk)
  • in case of a manager; authorization data for department / branch
  • in case of an operator; specific authorization regarding handling incidents

NIVO can create a TOPdesk person or operator with this data, and will manage the lifecycle. Identities which are inactive based on the information of the source system, are archived in TOPdesk.  The connection operates real-time; as soon as changes occur, these changes are processed in the system.

Groups

The secondary purpose of the TOPdesk connection is to create operator groups based on the NIVO dataset. For instance the organizational structure and functions from the HRM system. NIVO will also support the memberships of connected identities.

Locations and departments

Finally, you can create departments and locations automatically based on the NIVO data. This could be organization structure of the HRM system or defined location structure chart from the student advisory system. NIVO will also maintain the department/location per person or operator, based on information in the source system.
